What you will be doing:

As an Associate Project Manager at Staples Inc., you’ll be primarily responsible for managing small to mid-sized projects from customer onboarding through equipment installation, ensuring timely account setup, site and equipment verification, service provider selection, and scheduling. You will work closely with customers, vendors, and internal teams to deliver a smooth, high-quality implementation experience.   • Oversee the day-to-day execution of small to mid-sized breakroom implementation projects from kickoff through installation.
  • Serve as a primary point of contact for customers during the implementation process, providing timely updates and ensuring a smooth onboarding experience.
  • Support initial account setup activities, ensuring all customer details, service requirements, and site information are complete and accurate.
  • Coordinate verification of site readiness and confirm equipment needs based on program standards and customer requirements.
  • Assist with selecting appropriate service providers based on location, service availability, and program guidelines.
  • Manage equipment ordering workflows, tracking shipments and ensuring equipment arrives on schedule for installations.
  • Coordinate and confirm installation appointments with customers and service providers, ensuring timely execution and minimal disruption.
  • Maintain accurate project trackers, timelines, and status reports; escalate delays or risks to Project Management leadership as needed.
  • Monitor milestones to ensure projects are completed within established Service Level Agreements (SLAs) and meet customer expectations.
  • Work closely with Sales, Operations, Customer Support, and other internal teams to coordinate deliverables and resolve project-related issues.
  • Communicate with vendors and service providers to align on project expectations, timelines, and resolve minor service issues.
  • Identify opportunities to improve project workflows, customer experience, and internal processes, and share feedback with leadership.
  • Assist Project Managers and Team Lead with larger or more complex project tasks when needed, gaining exposure to high-complexity projects.

What You Bring to the Table:

  • 1–3 years of experience in project coordination or project management, ideally in a customer-facing environment.
  • Proven ability to manage multiple projects simultaneously while maintaining attention to detail and meeting deadlines.
  • Excellent communication and interpersonal skills with a commitment to providing exceptional customer service throughout the project lifecycle.
  • Strong critical thinking skills to assess situations, identify challenges, and implement solutions independently.
  • Ability to work effectively with cross-functional teams, vendors, and customers, fostering a collaborative and positive project experience.
  • Comfortable using Salesforce, Excel, project trackers, and other CRM/project management tools to maintain accurate and timely records.
  • A proactive, solutions-driven approach with a strong sense of accountability and follow-through.
  • Ability to work in a dynamic, fast-paced environment, adjusting to changing priorities and customer needs with professionalism.
  • A keen eye for accuracy and consistency in managing project details, from customer information to equipment tracking.
  • Excellent written and verbal communication skills, including the ability to convey technical and operational details clearly to diverse audiences.
  • Skilled at balancing competing priorities and meeting deadlines without sacrificing quality.
  • A willingness to learn and grow professionally, staying up-to-date with industry trends and project management best practices.
  • Knowledge of breakroom equipment, service providers, and installation best practices — or the ability to quickly become a SME.
  • Strong written and verbal communication skills
  • Ability to manage multiple tasks, priorities, and deadlines with strong attention to detail
  • Strong organizational and time management skills
  • Basic understanding of project tracking and reporting processes
  • Ability to maintain professionalism and a customer-first attitude in a fast-paced environment

What’s needed: Basic Qualifications:

  • Bachelor’s degree or equivalent work experience in Project Management, Business, Communications, Operations, or a related field
  • 1–3 years of experience in project coordination, project management, customer onboarding, or related customer-facing support roles
  • Proficient in Microsoft Office Suite, especially Excel, and comfortable working in CRM systems 

Preferred Qualifications:

  • Project Management Professional (PMP) certification or similar project management training
  • Experience coordinating multi-site or multi-phase projects
  • Familiarity with breakroom services, facilities management, hospitality, or retail operations industries
  • Advanced Excel skills (e.g., pivot tables, data analysis, project tracking templates)
  • Experience coordinating with third-party service providers or vendors
